Event Booking - Terms & Conditions
1. Booking Confirmation
- All event bookings must be confirmed in writing.
- Provisional dates will be held for a maximum of 14 days without a deposit. If no deposit is received within this period, the date may be released.
2. Deposit and Payment Terms
- A non-refundable booking deposit is required to secure your event date. The exact amount will be notified to you in the provisional booking email.
- A damage deposit of £150 is also required for certain events and will be refunded in full within 14 days after the event, provided no damage or loss has occurred.
- Full event payment (excluding the refundable damage deposit) must be made no later than 7 days prior to the event, unless otherwise agreed in writing.
3. Cancellations and Refunds
- All cancellations must be made in writing.
- Booking deposits are non-refundable.
- Cancellations made within 14 days of the event date may incur additional charges depending on costs already incurred.
- The damage deposit will be refunded in full in the event of cancellation, provided no expenses have been deducted due to venue preparations or early access.
4. Food & Beverage
- Final numbers for catering must be confirmed no later than 7 days before the event.
- This confirmed number will be the minimum chargeable amount.
- Menu choices and dietary requirements must be submitted at the same time.
- No outside food or beverages are allowed without prior written consent.
5. Changes to Bookings
- Minor changes (e.g., time adjustments or guest numbers) may be accepted depending on availability.
- Major changes (e.g., date changes) may be treated as cancellations and subject to charges.
6. Conduct, Damage & Liability
- The event organiser is responsible for the conduct of all guests.
- Any damage to the venue, furniture, fixtures, or equipment will be deducted from the damage deposit. If the damage exceeds the deposit, the organiser will be invoiced for the remaining amount.
- The club reserves the right to withhold all or part of the damage deposit if:
- Additional cleaning is required
- Items are missing or broken
- Guests breach any club policies or behave inappropriately
- The venue reserves the right to end the event early if guest behaviour poses a risk to property or staff.
7. Use of Club Facilities
- The time to access the venue on the day of the event will be confirmed in writing.
- Setup and cleanup must be completed within the agreed timeframe.
8. Force Majeure
- The club accepts no liability for cancellations or service disruptions caused by events beyond its control (e.g., weather, power outages, government restrictions).
9. Insurance
- It is recommended that organisers obtain suitable event insurance to cover cancellation, property damage, or personal injury.
- If outside companies are to provide a service or products at the event, they must have their own Public Liability Insurance and lodge a copy of this with Lutterworth Golf Club at least 7 days before the event takes place.
